Job Description:
This is a 4 month contract role starting in June, and is based
in-office 5 days per week. You will be responsible for providing
comprehensive support to both the office and C-level executives on
a daily basis, working for a global private investment
company.Client DetailsThe client is a global private investment
company that focuses on specific industry sectors such as lottery
and gaming, energy, information technology and real estate. Part of
this role will also support an executive within the bio-medical
space that focuses on researching, developing, manufacturing and
commercializing medical devices. This role is located in Boston,
MA.Description
- Serve as the initial point of contact for visitors, telephone
calls, and deliveries.
- Handle guest registration and issue visitor and employee access
cards.
- Maintain the office area, conference rooms, and kitchen.
- Prepare and serve refreshments to guests upon request.
- Order and restock office supplies and items for the kitchen
pantry.
- Coordinate travel and hotel accommodations for CEO.
- Manage CEO's calendar and meeting requests.
- Assist CEO with work-related and personal tasks/errands.
- Create invoices for company needs
- Maintain conference room IT equipment, as well as manage all
office logistics including Wi-Fi, monitors, cord management, and
printer services.
- Reconcile end-of-month (EOM) receipts/invoices.
- Pay all invoices.
- File all non-disclosure agreements (NDAs) and documents
appropriately, keeping the file system organized and updated.
- Manage the building's Business Portal for special office
maintenance requests.
- Perform any other back-office tasks as requested.
- Carry out other responsibilities as assigned by CEO.
- Manage TMS filing system
- Manage email inbox for external inquires
- Coordinate travel and hotel accommodations for different
C-level executives.Profile
- 2-4 years of experience as an office manager and/or executive
assistant supporting high level executives
- Present a proactive and positive attitude
- Exhibit a high level of professionalism, discretion, and
adaptability
- Demonstrates exceptional abilities in communication,
organization, and multitasking
- Expense report knowledge
- Experience booking international and domestic travel
- Proficient in basic technology support and Microsoft
